The product

Your floor rules, enforced while you build the rota.

Most scheduling tools count heads. CarePlena knows a med passer has to be in Memory Care and Assisted Living, that the float cannot count twice, and that a lapsed CPR card stops counting the day it expires.

Coverage

It tells you what is short, on which day, and by how many.

Write the rules once. Every time you touch the week, CarePlena re-checks them and shows the gaps grouped by day — with the action that would close each one, right there.

  • Blocking rules stop a publish; warnings let a scheduler decide
  • One click adds exactly the open shifts a gap needs
  • Scoped per shift, location, department or station

Stations

Six on the floor is not the same as six in the right places.

A shift can look fully staffed and still leave Memory Care downstairs uncovered. Post people to stations and read each one separately.

  • Assisted Living, Memory Care upstairs and down, float
  • Floats count toward the shift, never toward a station's minimum
  • Each person carries a usual post, so the default is right

Rotations

Build the pattern once. Generate the year.

1A works Monday and Tuesday, off Wednesday and Thursday, back Friday through Sunday — then a four-day week. 1B covers the days 1A is off. Assign it and the shifts write themselves.

  • Patterns repeat over one to six weeks
  • An anchor date fixes which week of the pattern a person starts on
  • Regenerate freely — hand-placed and claimed shifts are left alone

The whole week

Everyone, every day, in one grid.

Staff down the side, days across the top, open shifts on their own row at the top where they cannot be missed. Drafts stay invisible to staff until you publish.

  • Month view for shape, week view for detail
  • Filter by location, department or position
  • Publish when it is ready — and be warned if you walk away first

Their week, their station, and a way out of Thursday.

Staff see what they are working and where they are posted. If they cannot make a shift they offer it — as a giveaway or a swap — and the schedule refuses anything that would double-book either person.

  • The fifteen-minute handover overlap is not treated as a clash
  • A posted shift stays theirs until somebody accepts it
  • Open shifts can be claimed, subject to your policies

On-call

Who to ring at two in the morning.

A main and a backup for every stretch, visible to everyone rather than living in one person's head. Hand over mid-week when plans change.

  • Split a week when somebody covers only part of it
  • Print or export a clean one-page month
  • Only staff you mark as on-call get the application at all

And the parts nobody demos but everybody needs.

Certifications that gate the rota

A lapsed card stops satisfying the rule that needed it, on the day it lapses.

Split shifts

Somebody leaves at three. Cut the shift; the remainder becomes an open shift.

Policies you set

Rest between shifts, hours per week, consecutive days — warn or block, your call.

Every change recorded

Who moved someone, when, and what it was before. Written by the database itself.

Roles that fit

Carers get their week and the trade board. Schedulers get the machinery.

Shift tasks

Preset checklists per shift or station, ticked off as the work actually happens.

See it on your own floors.

Bring your shift times, your stations and one week of your real rota. We will build it in front of you and you can decide from there.
