Most rota tools sold into assisted living were built for shops and restaurants and relabelled. They count heads perfectly well. They have no concept of a floor that cannot run under six, a certification that lapses on a date, or a float who is genuinely helping everywhere and therefore covering nowhere in particular.
In this sector those are not edge cases. They are the job.
What we believe
Coverage is a question about places, not headcount.
A shift with the right number of people can still leave a wing unstaffed. Every rule in CarePlena can be scoped to a station, and a float never counts toward one station's minimum — because a person cannot be in two places at once, however willing they are.
The schedule should refuse what a tired human would catch.
Nobody means to double-book a carer. It happens because the tool allowed it at eleven at night. Trades and pickups are checked in the database, not just in the browser — while still knowing that the fifteen minutes your shifts overlap for handover is not a clash.
A draft that looks finished is dangerous.
A half-built week reads exactly like a published one from the scheduler's chair, and like nothing at all from everyone else's. Drafts are marked wherever they appear, and you are told before you walk away from them.
Most of your staff should never see most of the software.
A carer wants their week, their station, and a way to hand over a Thursday. They should not have to scroll past rotation builders and cost-centre tables to find it.
What CarePlena is not
Worth saying plainly, so nobody discovers it three weeks into an evaluation.
- Not an EHR or eMAR. It does not hold clinical records or medication administration.
- Not a payroll system — though hours and overtime are tracked and exportable.
- Not a resident or family portal.
- Not an applicant tracking or hiring tool.
It does one job: getting the right people onto the right floors, and proving it afterwards. If another vendor tells you their product does all of the above as well, ask which parts they will demo on your own data.
Where things stand
CarePlena is early. It is built, it is running, and it is being shaped by the communities looking at it now — which is the best moment to get your own floor rules built into a product rather than working around somebody else's.
